Separate initial and recurring work
Discovery, prototyping, development, migration and training are initial activities. Hosting, backups, security updates and support recur. Telephony, messaging and payment providers can charge separately. Confirm current charges with each provider instead of treating them as part of the development team fee.
Include change and dependency costs
Ask how new features are estimated and what qualifies as correction of an accepted-release defect. An external API change and a new business process are different maintenance events. More integrations mean more monitoring responsibilities. Check whether data can be exported independently and the project transferred to another team.
Compare deliverables
The same turnkey CRM label may hide different scopes. Compare scenarios, acceptance criteria, documentation, code ownership, infrastructure and support terms. Make uncertainty allowances explicit. If a requirement is unexplored, estimate discovery separately rather than presenting an unsupported exact price.
Checklist
- List external provider fees separately.
- Distinguish defects from new features.
- Agree code and data handover terms.
- Compare equivalent project scope.
Project questions
Can a precise price be given without requirements?
An initial range can state its assumptions. A defensible fixed estimate requires agreed scope, dependencies and acceptance conditions.
